1. Who is responsible for your data

The PAIR Competitions Portal is operated by Peter Unstead, trading as GAP Records and Pure AI Radio (PAIR). Peter Unstead T/A GAP Records is the data controller for the personal information collected through the portal.

2. What we collect

From competition entrants: your name, artist name, contact email, song title, optional description, and the audio and artwork you upload.

From voters: the email address used for vote verification (stored as a secure hash, with the code itself expiring after ten minutes), your vote record, and technical data such as IP address, browser fingerprint and basic device information used for rate limiting and fraud prevention.

Operational records: moderation decisions, vote verification outcomes and security flags, and an audit log of administrative actions.

3. How we use it and why

To run competitions: receiving, moderating and publishing entries, and contacting entrants about their submissions (legal basis: performance of our contract with you).

To verify votes and protect competition integrity: confirming each listener votes once, detecting duplicate, automated or manipulated voting, and rate limiting (legal basis: our legitimate interest in running fair competitions and keeping the portal secure).

To publish results, including the winners' artist names, song titles and entries, where a competition has concluded.

4. Voter emails and what is public

Voter email addresses are never published and are stored hashed for verification purposes. Vote totals are not shown publicly while voting is open, and exact vote counts are shown publicly only where PAIR chooses to publish them.

Publicly visible entry information is limited to the artist name, song title, optional description, audio and artwork you submit for the competition.

5. Storage and security

Data is held in a managed, access-controlled database with row-level security, and entry files are stored in private storage served through short-lived signed links. Administrative actions are recorded in an audit log. We apply appropriate technical and organisational measures, including encryption in transit and strict access controls.

6. Cookies

The portal uses only essential cookies and storage needed to keep you signed in and operate the service. We do not use analytics or marketing cookies.

7. Retention and deletion

Entry and vote records are kept for as long as needed to run and verify competitions, publish results and maintain archives, or to meet legal obligations. Security and verification records are retained only as long as needed for fraud prevention.

You may ask for your personal information to be deleted at any time; data that is no longer needed is deleted or anonymised. Archiving a competition locks its records read-only so published results remain accurate.

8. Your rights and contact

Depending on your country, you may have the right to access, correct, delete, restrict or object to the processing of your personal information, to data portability, to withdraw consent, and to complain to your local data protection authority. You can exercise these rights by contacting the PAIR team through the support email published on this portal or via the Pure AI Radio website. We respond to requests within one month.
